Code of Conduct: Resolution Process

We’re thrilled to have you as a member of our Pickleball community.
To ensure everyone has a fun, enjoyable, and respectful experience, we ask that all members adhere to the following code of conduct:
Purpose:
Our club is committed to fostering a positive, respectful, and inclusive environment for all members. This Code of Conduct Resolution Process outlines the steps taken to address any violations of our code of conduct, ensuring fairness and clarity in our approach.
Guiding Principles:
- Respect and Inclusion: We value and respect every member’s contributions and strive to create an environment where everyone feels welcome.
- Positive Environment: Our goal is to maintain a positive and supportive atmosphere for all members.
- Fairness: All concerns will be addressed impartially and respectfully.
Resolution Process:
- Initial Discussion:
- If a member’s behavior is observed to be in violation of the code of conduct, a designated club officer will initiate a private and polite conversation with the member to discuss the concern and remind them of the expected standards of behavior.
- First Verbal Warning:
- Should the behavior continue, the member will receive a formal verbal warning from a club officer. This warning will outline the specific behavior that needs to change and provide guidance on how to align with the club’s code of conduct.
- Second Verbal Warning:
- If the behavior persists after the first verbal warning, a second verbal warning will be issued. This warning will reiterate the required behavior changes and highlight the consequences of further non-compliance.
- Final Written Warning:
- Continued violations after the second verbal warning will result in a final written warning. This document will detail the repeated offenses, previous warnings issued, and clearly state that any further infractions will lead to membership termination.
- Membership Termination
- If the member fails to comply after the final written warning, they will be asked to vacate or will lose their membership to the club. This decision will be communicated formally, and the member will be required to leave the club premises and cease participation in all club activities.
- Prorated Membership Fee:
- Upon termination of membership, the membership fee will be prorated and returned to the customer minus a $200 administrative fee.
Appeals Process:
Members have the right to appeal any decision made during this process. Appeals must be submitted in writing to the club’s executive committee within 14 days of the decision. The committee will review the appeal and provide a final decision within 30 days.
